Data workflows

Turn spreadsheet tasks into repeatable workflows

Use SheetAI to analyze, clean, generate, and visualize data while keeping the important decisions visible and easy to check.

The workflow

Move from question to checked result

  1. Inspect. Start by understanding the columns, row count, formats, and missing values.
  2. Define. State the rule or question in plain language, including the range that matters.
  3. Run. Let SheetAI make the requested calculation, cleanup, classification, or summary.
  4. Check. Review examples, totals, and edge cases before you share the result.

Common jobs

Four useful starting points

Analyze

Ask for trends, outliers, comparisons, and a short explanation of what the numbers may mean.

Clean

Standardize formats, remove duplicates, split values, and flag rows that need a human decision.

Generate

Create tables, formulas, summaries, and planning structures from a clear brief.

Visualize

Turn a clean table into a chart or dashboard that makes the main pattern easier to see.

Quality checks

Do not skip the last five minutes

AI output can look polished before it is correct. Compare totals, sample rows from the beginning and end of the range, and inspect anything marked uncertain. Keep the original data available when a transformation is hard to reverse.

For focused tasks, use the free spreadsheet tools. For a longer multi-step request, read AI Assistant before you begin.

Example workflow

Clean first, summarize second

Suppose you receive a customer export with inconsistent dates, duplicate rows, and blank categories. Start by asking SheetAI to inspect the table and list the issues. Next, clean one issue at a time while keeping the original columns available for comparison.

Once the table is consistent, ask for a summary using the cleaned range. Finish with a chart or a short report, and keep the checks that helped you decide the result was ready.

Make the result repeatable

Keep the useful parts of the process

Write down the source range, the cleanup rules, and the checks you used. If the task happens every week or month, save the instruction in the prompt library and keep the same sheet structure where possible.

A repeatable process should still leave room for exceptions. Ask SheetAI to flag rows that do not match the normal rule instead of forcing every value into a category that may be wrong.

Before you publish a result

Check the story as well as the numbers

A cleaned table can still tell the wrong story if the range excludes a period, includes a duplicate, or mixes different definitions. Compare the date range, row count, totals, and categories with the question you set out to answer.

Keep a short note about the source and the last update. That context helps someone decide whether the result is current enough to use.
