Set up SheetAI for team work

A practical starting point for inviting colleagues, managing access, and keeping shared spreadsheet work organized.

Set the foundation

Agree on how the team will use sheets

Before inviting everyone, decide where shared work should live, who owns the final version, and how a person should request a structural change. A simple convention prevents duplicate files and unclear handoffs.

Use meaningful names for shared sheets and keep a short description near the main report. New teammates should be able to understand the purpose without asking for a private tour.

Access and ownership

Give each person a clear responsibility

Owner

Keeps the structure, formulas, and final version in good shape.

Contributor

Adds or updates information within the agreed working areas.

Viewer

Reads reports and uses the result without changing the source.

The exact controls depend on the workspace and plan. Keep access current when someone changes role or leaves the project.

Shared usage

Make credits and review part of the process

Agree on which tasks should use the assistant, who reviews larger edits, and how the team tracks recurring work. This makes credit usage more predictable and reduces duplicate experiments.

For details about plans and usage, read Credits, Usage, and Billing. For sheet-level controls, continue with Sharing and Protected Ranges.

Business workspace

Know what the owner manages

A Business workspace has five seats in total, including the owner, and a shared monthly allowance. The owner can invite colleagues, choose member or admin access, set individual spending limits, suspend or remove membership, and assign sheets with view, comment, or edit access.

Invitations can be sent by email or created as a secure link. New invitations reserve a seat for seven days. Keep the membership list and sheet assignments current so access matches the team today.

Team habits

Make handoffs visible

  • Give shared sheets an owner and a clear purpose.
  • Use the activity area to review membership changes.
  • Set a limit when one person should not use the full shared allowance.
  • Keep personal work separate from assigned team sheets.

Membership changes

Keep access current

When a colleague changes role, update their permissions and sheet assignments at the same time. Suspending or removing a member changes their team access, while a separate share may still need to be reviewed on its own.

Personal allowances stay separate from the team allowance. Make that distinction clear when you explain the workspace to a new member so there is no confusion about which work uses shared credits.

Owner checklist

Set the team up before inviting everyone

  • Choose a team name people will recognize.
  • Decide who should be an admin and who should be a member.
  • Set a spending limit when a member should have a defined ceiling.
  • Create or name the sheets that will be assigned.
  • Explain how to request access changes or report a problem.

The owner keeps control of the subscription, roles, limits, and membership. Admins can help manage regular members, while members work within the access and spending limits they receive.
