SheetAI vs Gemini in Google Sheets
Gemini arrives with a Workspace business subscription, which makes it feel free - it is not, it is priced into every seat in your domain. And what it gives you inside Sheets is a side panel, not formulas you can fill down a column. SheetAI puts twelve AI functions and a chat into the sheet itself, works on any email address without a Workspace plan, and comes with a spreadsheet and twenty templates of its own.
Every figure about Gemini in Google Sheets on this page comes from their own pages, last read on 5 September 2026. Sources are listed at the bottom.

The short version
These are not really the same purchase. Gemini is a line item in a suite your company either already buys or does not; if your whole domain is on a Workspace business plan and you only want occasional help writing a formula or drafting a table, it is right there and you should use it. SheetAI is what you add when you want the spreadsheet to do the work: functions you can put in a cell and drag down, an agent that reads and rebuilds the sheet, twenty templates that already calculate, and no requirement that anybody upgrade a Workspace tier. Most teams end up wanting both - Gemini across Gmail and Docs, SheetAI where the numbers live.
What each one actually is
Most of the decision comes down to this, and a feature table can hide it.
A spreadsheet application with an AI agent in it, plus a Google Sheets add-on that puts twelve functions and a chat sidebar into sheets you already have, and an Excel add-in with the same chat. It signs in with any email address, so nobody needs a Workspace upgrade to use it, and one balance covers the app and both add-ins. Start from one of twenty templates, or from a file you import.
Google's assistant, bundled into Workspace business plans since the standalone add-ons were retired in early 2025. Inside Sheets it appears as a side panel and as table-generation help: ask it to draft a tracker, explain a formula, or summarise a range. It spans the rest of Workspace too - Gmail, Docs, Slides, Meet - and it is administered and billed by Google across your domain, not per person who wants it.
Head to head
Shaded cell is the one we think wins that row, including the rows where it isn’t us.
| SheetAI | Gemini in Google Sheets | |
|---|---|---|
| AI you can put in a cell | Yes - =SHEETAI plus AI_CLASSIFY, AI_EXTRACT, AI_FILL, AI_FORMAT, AI_FORMULA, AI_LIST, AI_SENTIMENT, AI_SUMMARIZE, AI_TAG, AI_TRANSLATE, filled down like any formula | No. Help arrives through a side panel and generated tables, not as a formula |
| Who has to pay | Only the people who want it. Plans are per account, from $20 a month | Everybody. It is priced into the Workspace seats across your domain |
| Account you need | Any email address; no Workspace plan required | A Google Workspace business plan |
| Ready-made templates | 20 built-in workbooks with the formulas, formats and conditional rules already wired | It can draft a table for you, but there is no library of finished workbooks |
| A spreadsheet of your own | Yes, plus imports and exports of .xlsx and .csv, and sharing | Google Sheets itself, which you are already paying for |
| Rewriting a sheet on request | The agent reads the grid and edits it - summary blocks, charts, formula fixes, re-layouts | Drafts and explains; the heavier restructuring is still yours to do |
| Works in Google Sheets | Yes, through the add-on, included on every plan | Yes, natively - nothing to install |
| Beyond spreadsheets | Spreadsheets only | Gmail, Docs, Slides and Meet as well |
| Admin, compliance and procurement | A separate vendor to approve, with per-account billing | Already inside a contract your IT team signed, under Workspace admin controls |
| Cost if you already pay for Workspace | An additional subscription | No extra line item; it is in the seat price |

Workspace pricing has moved more than once and varies by plan, region and contract, and published figures differ between sources - treat the number above as an order of magnitude and check Google's page for your own plan. The honest comparison is marginal: if you already pay for Workspace, Gemini costs you nothing extra today; if only three people on your team need AI in spreadsheets, upgrading the whole domain to get it is the expensive route and a per-account tool is the cheap one.
Choose Gemini in Google Sheets if…
Then Gemini is sitting there at no extra charge, and for occasional help - explain this formula, draft me a tracker - opening the side panel is the path of least resistance. Use it.
We are spreadsheets only, by choice. If the point of the purchase is assistance everywhere your team writes, that is a suite decision and Gemini is part of the suite.
Adding a vendor means review, invoicing and an admin conversation. Gemini is inside a contract your organisation has already signed, under controls your IT team already manages. Sometimes that decides it regardless of features.
Choose SheetAI if…
This is the practical gap. Twelve functions - classify, extract, translate, summarise, tag, score sentiment - behave like formulas: write one, fill it down a thousand rows, and it recalculates with your data. Gemini's help in Sheets does not work that way.
Getting Gemini means the AI is priced into every seat in the domain. SheetAI is per account from $20 a month, so three analysts can have it without upgrading two hundred mailboxes.
Twenty templates ship as real workbooks - budget, invoice, CRM pipeline, timesheet, KPI dashboard - with formulas, formats and conditional rules in place, plus an agent that will restructure a sheet, add a summary block or fix a broken formula on request.
Sole traders, small teams on free Gmail, anyone on a personal account: SheetAI signs in with any email address and the add-on works in the sheets you already have.
Nothing conflicts. Keep Gemini for prose and slides; use SheetAI where the numbers are. The add-on installs alongside it and the credits work in our app too.
Moving across from Gemini in Google Sheets
There is nothing to migrate - Gemini is part of Workspace and SheetAI is an add-on plus an app. You are adding, not replacing.
- 1Install the SheetAI add-on from the Google Workspace Marketplace and sign in with any email address, including a personal one.
- 2In a sheet where you have asked Gemini for help before, write =SHEETAI("...") in a cell and fill it down a column to see what changes when the AI is a formula rather than a panel.
- 3Try a named function for a repetitive job - AI_CLASSIFY on a category column, AI_TRANSLATE on a text column - and compare the result with what you were doing by hand.
- 4If you want templates or the full agent, open the SheetAI app and import the workbook.
- 5Keep Gemini. Nothing about the two conflicts, and they are good at different parts of the day.
One thing to check with your administrator first: some Workspace domains restrict which Marketplace add-ons users may install. If yours does, installation needs an admin approval - a five-minute conversation, but worth having before you plan around it.

More comparisons
The same honest format, against the other tools people weigh up.
A capable add-on for very large batch jobs - but it is only an add-on. You still need a spreadsheet, and it isn't one.
A cheap, tidy =AI function for Sheets and Excel. Good at filling columns; it is not a spreadsheet and it does not pretend to be.
The obvious choice if your company is all-in on Microsoft and will pay for it. It is a licence on top of a licence, and it stops at Excel.
A polished spreadsheet built around live data connectors. Strong if your numbers come from APIs; it does not reach into Google Sheets, and AI tasks are metered tightly on the cheap plans.
A heavyweight AI spreadsheet with Python, SQL and huge file support. Priced per seat at $29, and it only works inside Sourcetable.
Upload a file, ask questions, get charts and answers back. Good at analysis; you do not get a spreadsheet you can keep working in.
Brilliant general assistant, and it will analyse a file you upload. It is not connected to your spreadsheet, and copy-paste is not a workflow.
